COI Renewal Checklist for an Active Contractor Project
When a policy period ends before the project or evidence obligation is complete, treat renewal as a new controlled package—not as a date change on an old certificate.

First determine why a renewal package is needed
A certificate may show that one policy period ends while work is still underway. California State University, San Bernardino advises checking whether policy expiration falls before contract completion and setting a reminder when renewal follow-up is needed. Tufts University states in its vendor requirements that renewal certificates are to be provided annually until work is complete.
Those examples show two common triggers: a policy date inside an active contract period and a client requirement for continuing evidence. The actual trigger may also come from a purchase order, master service agreement, lease, permit, facility-use agreement, or compliance portal.
Do not assume the project schedule alone controls. A contract may require evidence before mobilization, during work, at annual renewal, or for a period connected with completed operations. Ask the client which current written requirement applies.

- Locate the current contract, insurance exhibit, amendment, and portal instructions.
- Record the exact renewal evidence deadline and its source.
- Confirm the client reviewer and authorized delivery route.
- Assign one contractor owner for the timeline and event history.
- Identify who can clarify conflicting instructions.
B. Policy-period inventory
- List every required coverage line separately.
- Record the displayed effective and expiration date for each line.
- Identify whether policy periods differ.
- Compare each expiration with the project and evidence-obligation window.
- Mark unknown dates as questions rather than estimating them.
C. Agent request package
- Use the contractor’s exact legal name and neutral project reference.
- Provide the current written requirement through an approved secure route.
- Identify each requested coverage line, entity, and evidence type.
- Ask which renewal documents can be issued and when.
- Keep certificate-holder and additional-insured roles separate.
- Ask policy or endorsement questions without prescribing unsupported certificate wording.
D. Returned-evidence review
- Confirm the correct contractor and project.
- Check every policy period, not only the line that expires first.
- Compare each displayed limit with the current written requirement.
- Confirm the certificate-holder name and address.
- Map every requested additional-insured or evidence-recipient entity.
- Check whether required endorsements or other issued evidence are included.
- Remove old candidate files from the outgoing package.
E. Submission and follow-up
- Assign one package version.
- Submit through the approved client route.
- Save the permitted delivery receipt or neutral reference.
- Separate submitted, received, under review, needs correction, and accepted statuses.
- Record the next follow-up date.
- Keep the exact submitted snapshot in the authorized project system.

What to record after delivery
- Version: the label attached to the exact submitted package.
- Delivery event: date, channel, and submitter.
- Receipt: portal confirmation, sent-message record, or other permitted reference.
- Reviewer response: accepted, under review, correction requested, or another exact status.
- Open action: owner, task, and next follow-up date.
- Next policy checkpoint: if multiple policy lines renew at different times, retain the next active reminder.
Common renewal failures
- Waiting for the expiration date instead of the client’s earlier evidence deadline.
- Tracking only general liability while another required line expires sooner.
- Sending the old certificate with a renamed filename.
- Assuming previously issued endorsements automatically answer the new request.
- Using a prior certificate holder after the client changed its entity or address.
- Calling an upload “accepted” before the reviewer finishes.
- Deleting the prior package and losing the comparison baseline.

Should every renewal use the same checklist?
Use the same review categories for consistency, but populate them from the current project requirement and current issued evidence.
What if policies expire on different dates?
Create separate checkpoints by coverage line. A single certificate can display multiple policy periods, and one reminder should not hide the next expiration.
Can a contractor verify the endorsement?
The contractor can confirm that a requested file was received and routed. The agent or other qualified professional should explain the policy and issued endorsement.
What if work is complete before expiration?
