Contractor field guides
Certificate of insurance guidance built around the job
A certificate request often arrives when a bid has been awarded, a crew is scheduled, or a client is waiting. These guides focus on the practical administrative checks that can prevent avoidable back-and-forth.
Start with the submission workflow
- Collect the written requirement. Use the contract, insurance exhibit, vendor portal instructions, or client request rather than relying on memory.
- Identify the exact entities. The contracting party, certificate holder, project owner, and requested additional insureds may not be the same organization.
- Compare dates and limits. Check whether the policy period overlaps the work and whether the displayed limits meet the written request.
- Separate certificate statements from endorsements. A checked box or description on a certificate is not a substitute for an endorsement when the underlying policy must grant a status or right.
- Send specific questions to the agent. The agent or insurer is the appropriate party to issue a certificate and explain what the policy actually provides.
Common contractor problem areas
Name mismatches
Small differences in legal suffixes, trade names, addresses, or project entities can trigger a manual or automated rejection.
Missing evidence
A certificate may summarize coverage while the requester also expects copies of applicable endorsements.
Insufficient limits
Each occurrence, general aggregate, auto, employer’s liability, and umbrella limits must be compared separately.
Date gaps
A policy can be active on submission day but expire before mobilization or before the project is expected to finish.
Use a tool before you send
The COI Rejection Risk Checker turns these recurring checks into a structured review. It processes answers in your browser and produces a practical follow-up list without asking for a policy number or document upload.
Guides under development
COI Workbench is being expanded deliberately around real contractor tasks: understanding a requirement, preparing a request, reviewing a returned certificate, correcting administrative mismatches, and tracking expiration dates. New trade-specific guides will be added only when they include examples and checks that materially differ from the general guidance.
